Administration
Subscription and credits
How the hosted BastraLekha is sold: one yearly plan, a free trial to start, and credits that count sales bills. Settings → Subscription & credits
Starting with the free trial
- Open the sign-up page and give the organisation's registered name, the name staff know it by, an organisation code (staff type it to sign in), the state and, if registered, the GSTIN.
- Name the first branch and give it a two- or three-letter code — it starts every invoice number.
- Give your own name, username, email, phone and a password of at least ten characters, and accept the terms and the data charter.
You are signed straight in as the administrator, with the six starting roles, a standard chart of accounts, this financial year and the next, and two product categories ready. The trial runs for 30 days with 1,000 credits, every feature included. A shop starts with the basics and two roles (Owner and Counter staff); a cooperative starts with everything and the detailed roles. Either can change under Settings → Features. Continue with setting up.
Credits
- One credit is one sales bill. Purchases, stock, transfers, accounts, reports and exports never use credits.
- The balance and what used it are under Settings → Subscription & credits, with the credits used each day for the last month.
- A banner warns when credits are running low. With none left, new sales bills pause — everything else keeps working — until credits are added.
- A bill the till took offline is never refused, even with no credits: the sale has happened. It posts, and the balance goes below nothing until credits arrive.
The yearly plan
| Price | ₹60,000 a year, plus GST |
|---|---|
| Included | Every module, unlimited branches and users, GST rate updates and new features |
| Credits | 60,000 a year — about 165 sales bills a day |
| Top-ups | 10,000 credits for ₹6,000 plus GST, as often as needed |
Subscribing and buying credits
- Under Settings → Subscription & credits, choose Subscribe for a year (or Renew), or Buy credits in packs. The amount with GST is shown before you ask.
- APIE Technologies sends a GST invoice to your contact email. Pay by bank transfer or UPI.
- When the payment is recorded, the year starts — or, when renewing early, is added after the current one ends — and the credits arrive. The request shows as paid with its reference.
A request can be withdrawn while it waits. Subscribing works even after the trial has ended, so an organisation is never locked out of paying.
When a trial or a year ends
| Situation | What happens |
|---|---|
| Trial running | Everything works; the banner shows the days and credits left |
| Trial ended, not subscribed | New bills and entries pause; everything stays readable, printable and exportable |
| Last 30 days of a paid year | A reminder to renew |
| Up to 15 days after the year ends | Everything keeps working, with a warning |
| Later than that | New bills and entries pause until renewed; records stay available |

A cooperative or government body that must host BastraLekha itself is licensed rather than subscribed: a signed licence for its installation, with no credits. See plans and licensing.
